Who we are

OnlineFitness.app is a platform for fitness coaches. It includes a web cabinet for coaches, a mobile and web app for their clients, public funnel and lead magnet pages, and AI tools.

The platform is operated by OnlineFitness.app (“we”, “us”). You can reach us at support@onlinefitness.app.

One important thing to understand up front: OnlineFitness.app is software. Coaches use it to deliver their own coaching services to their own clients. We are not a party to the coach-client relationship — the coaching itself, and the content of that coaching, is between you and your coach.

Three roles, and our role for each

Different people use OnlineFitness.app in different ways, and our responsibilities differ for each.

Coaches. If you are a coach, you are our customer. For your account, billing, and usage data, we are the data controller — we decide how and why that data is processed, as described in this policy.

Clients of a coach. If a coach invited you, or you joined through a coach’s funnel, your coach is the controller of your data and we are the processor. We process your data on your coach’s behalf, so they can deliver their services to you. This includes your workouts, results, measurements, progress photos, and chats with your coach.

Leads. If you filled in a form on a coach’s funnel or lead magnet page but are not yet a client, we process your submission (with basic attribution about where it came from) on the coach’s behalf so they can follow up with you. No health data is included in analytics payloads.

What we collect

For coaches:

Account data: name, email, and profile details you provide.
Billing data: subscription status, payments, and balance history. Payments are processed by creem.io, our Merchant of Record — we never see or store your full card details.
Usage data: how you use platform features, so we can operate the service and meter paid features (such as AI generations).
Content you create: exercises, programs, documents, funnels, and other materials in your cabinet.

For clients of a coach:

Account data: name and contact details used to sign you in.
Training data: workouts, results, measurements, progress photos, and your chat with your coach.
Health-related data, only where it is needed for your coach to deliver their services (see the section below).

For leads:

The information you submit in the funnel or lead magnet form.
Attribution data about which page or campaign the submission came from.

How we use data

We use data to:

Run the platform: accounts, sign-in, syncing between the coach cabinet and the client app.
Deliver features coaches pay for: the Pro subscription and pay-per-use AI generations.
Handle billing and support.
Keep the service secure and reliable.

Two things we do not do:

We do not sell your data. Not coaches’ data, not clients’ data, not leads’ data.
We do not use client data for advertising. Client data exists so a coach can coach — nothing else.

Training data often touches on health: measurements, progress photos, results, notes shared in chat, and the health form you fill in for your coach (chronic conditions, medications, injuries and surgeries, pain). We treat this as sensitive.

Health-related data is processed only to enable the services your coach provides to you.
It is never used for advertising or analytics profiling.
You are in control of public use. The client app includes a consent toggle that controls whether your coach may use your progress data in their public content. It is off by default. Your coach cannot use your progress publicly unless you switch it on.

AI features on the platform produce drafts that the coach reviews before use. The platform does not provide medical advice; responsibility for coaching content lies with the coach.

Subprocessors

We use a small number of service providers to run the platform:

AI providers receive only the content needed to fulfil a specific generation request made by a coach.

Payments deserve a note: creem.io acts as Merchant of Record. They process cards, handle sales tax/VAT, and manage chargebacks. Their Terms of Sale apply to purchases.

Data retention

Active accounts. We keep your data for as long as your account is active.
Coach accounts on the free plan or with a lapsed subscription. Nothing is deleted: your content stays and your clients keep access to their training.
Deleted accounts. Coach accounts can be deleted at any time (the process is described at /delete-account). Client accounts are soft-deleted with a grace period before permanent removal, so accidental deletions can be reversed.
Data export is available before deletion.

Your rights

You can ask to access, correct, delete, or export your data.

Coaches: contact us directly at support@onlinefitness.app.
Clients of a coach: because your coach is the controller of your training data, the fastest route is usually to ask your coach — but you are always welcome to contact us directly, and we will help or forward your request to your coach as appropriate.
Leads: contact us or the coach whose page you submitted the form on.

We will respond to requests within the timeframes required by applicable law.

Cookies & analytics

Our marketing site uses Google Analytics to understand how visitors find us and which pages they read (for example, which campaign a visit came from). We do not use advertising features, ads personalization, or cross-site tracking. Coaches’ funnel and lead magnet pages contain no third-party analytics — submissions there are processed on the coach’s behalf as described above.

The app uses Firebase Analytics to collect product usage statistics (such as which screens are opened), plus technical session storage — what is strictly needed to keep you signed in and make the app work. No health data is included in analytics payloads, and there is no advertising or cross-site tracking of any kind.

Children

Coaches must be at least 18 years old.

Clients under 18 may use the platform only with parental or guardian consent, which the coach is responsible for arranging.

International transfers

Our hosting and database run in the EU (Google Cloud region europe-central2). Where a subprocessor operates outside the EU, transfers rely on appropriate safeguards under applicable data protection law.

This policy is governed by the laws of Georgia.

Changes to this policy

When we make material changes to this policy, we will update the date at the top and notify coaches through the platform. Continued use of the platform after changes take effect means the updated policy applies.
